Camera Ready

Please follow the following steps to submit the final (camera-ready) version of your paper :

1. Author List, Paper Titles, and Presentation

The author list must remain the same as when the paper was submitted for review, and any changes in the author list or title is forbidden without prior written permission from the TPC Co-Chairs.

At least one author of an accepted paper is expected to register and to present the paper at the conference, in order for the paper to appear in the conference proceedings and be submitted to the IEEE digital library. More details for registration are available on the conference website.

Non-Presented Paper Policy : Each paper must be presented at the conference by an author of that paper, unless prior approval is obtained from the TPC Chairs and General Chairs. Papers that are not presented by their authors may be removed from the proceedings and from IEEE Xplore.

2. Paper Formatting

To ensure correct formatting, please use the style files found at the link below as templates for your submission. These include Word and LaTeX.

To submit the final version of papers, please read the entire paper kit (Microsoft Word or LaTeX) carefully to verify that your paper document is formatted correctly and that you have all the information you need before starting your paper submission. The paper kit contains detailed instructions on formatting your document and completing the submission process.

Accepted papers must be no longer than 6 pages including results, figures and references.

3. Paper Revision

Please read the reviewers' comments carefully and revise your paper to address them. Refer to the author kit above for proper publication templates. Pages must not be numbered. Proofread your document (it will not be checked before final inclusion in the proceedings). Ensure that there is no header or footer added to the manuscript, except the copyright notice (see step below).

4. Copyright Notice

You will also need to include a copyright notice at the bottom of the first page of your paper. The exact notice depends on the outcome of the copyright transfer process :

  • For papers in which all authors are employed by the US government, the copyright notice is :
    U.S. Government work not protected by U.S. copyright
  • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is :
    979-8-3503-4415-8/23/$31.00 ©2023 Crown
  • For papers in which all authors are employed by the European Union, the copyright notice is:
    979-8-3503-4415-8/23/$31.00 ©2023 European Union
  • For all other papers the copyright notice is:
    979-8-3503-4415-8/23/$31.00 ©2023 IEEE

LaTeX users can add the following lines just before \begin{document} for the copyright notice to show up. What is shown below is an example for the fourth copyright case above, in the other cases the copyright text should be adapted accordingly.

MSWord users can use: ‘Insert’ -> ‘Text box’, insert the appropriate copyright notice in the texbox, and place the box (without border) at the bottom left on the first page.

5. PDF eXpress paper validation

  • Access the IEEE PDF eXpress site at https://ieee-pdf-express.org/
  • First-time users should do the following:
    1. Select the New Users - Click Here link.
      • Enter the following:
      • 59737X for the Conference ID
      • your email address
      • a password
    2. Continue to enter information as prompted.
    3. An Online confirmation will be displayed and an email confirmation will be sent verifying your account setup.
  • Previous users of PDF eXpress need to follow the above steps, but should enter the same password that was used for previous conferences.
  • Verify that your contact information is valid.
  • Validate your paper
    • For each conference paper, click “Create New Title”.
    • Enter identifying text for the paper (title is recommended but not required)
    • Click “Submit PDF for Checking” or “Submit Source Files for Conversion”
    • Indicate platform, source file type (if applicable), click Browse and navigate to file, and click “Upload File”. You will receive online and email confirmation of successful upload.
    • You will receive an email with your Checked PDF or IEEE PDF eXpress-converted PDF attached. If you submitted a PDF for Checking, the email will show if your file passed or failed.

6. Paper upload

Upload of camera-ready manuscripts is handled through easychair.

  1. Login to EasyChair using your username and password and select your "author" role.
  2. In the table click on the corresponding "access" (column “Final Version”) .
  3. On the top right menu, click on “Upload new version”.
  4. In the Paper field, select the PDF version of your camera ready manuscript produced during the PDF eXpress check and received by email (as in Step above).
  5. Click on "Submit New Version" button.

N.B : If you have multiple papers accepted at the conference, you will need to repeat these steps for each accepted paper.

7. Electronic Copyright Form

Authors must sign their copyright form via IEEE eCopyright service. Please login to your EasyChair.org account and click on "Alerts" in the main menu, click on the "view" icon in the table, then click on "Sign IEEE Copyright Form" button. Next, you will be redirected to the IEEE eCF website where you just need to follow the wizard to complete and submit your copyright form online.
